AdventHealth Orlando seeks to hire a Sr. Manager – Donor Family Services who will embrace our mission to extend the healing ministry of Christ.
Located on a lush tropical campus, our flagship hospital, 1,368-bed AdventHealth Orlando, serves as the major tertiary facility for much of the Southeast, the Caribbean and South America. AdventHealth Orlando houses one of the largest Emergency Departments and largest cardiac catheterization labs in the country. We are already one of the busiest hospitals in the nation, providing service excellence to more than 32,000 inpatients and 125,000 outpatients each year.
The Sr. Manager – Donor Family Services directs all aspects of OurLegacy’s organ and tissue donor family services operation in each of the following hospitals within the Advent Health system: Altamonte, Apopka, Celebration, Daytona Beach, Deland, East Orlando, Fish Memorial, Kissimmee, Palm Coast, Orlando, Waterman and Winter Park. Additionally, the Centers for Medicare and Medicaid Services (CMS) has designated OurLegacy to provide organ and tissue donation services to all non-Advent Health hospitals in the following counties; Brevard, Flagler, Indian River, Lake, Okeechobee, Orange, Osceola, Seminole, Sumter and Volusia. Responsible for the delivery of effective donation family services in 55 hospitals in the OurLegacy service area.
Leads OurLegacy’s donor family care program. Must use existing knowledge of organ and tissue donation processes; crisis intervention, grief counseling, relationship building, negotiation, death and dying, and spiritual care to ensure that all organ and tissue donor families receive the support needed so organ and tissue donation can be facilitated in all cases. Mastery of OurLegacy policies; State of Florida laws; and federal laws, regulations, policies and standards governing organ and tissue donation and ensure OurLegacy’s compliance with same.
Provides 24-hour/7-day accountability for, and has oversight of, all donation authorization conversations in all 55 hospitals in the OurLegacy donation service area regardless of the job description of the on-call requester. Works daily with the Assistant Director of Clinical Operations to determine the appropriate person and manner to conduct each donation authorization. When there are gaps in call coverage the (position title to be determined) will performs duties as needed. Develops, manages and leads staff and processes that are dedicated to compassionate organ and tissue donor family care, which includes pre and post authorization care of the donors and families. Evaluates organ and tissue donation authorization rates within the designated service area and makes recommendations, revises and develops systems to improve those rates as needed. Mastery of organ and tissue donation approach and authorization national best practices and ensures they are implemented in each case.
Responsible for OurLegacy’s Donation After-Care Program which exists to provide continued support and resources to donor families after donation. Contributes to OurLegacy staff care, including but not be limited to, staff self-care and other programs designed to help staff excel in a stressful environment. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.
Knowledge, Skills, Education, & Experience Required:
Strong assessment and crisis intervention skills
Thorough knowledge of grief and bereavement dynamics
Advanced understanding of the legal and ethical framework of organ and tissue donation authorization
Mastery of the components of effective donation requesting and national best practices
Mastery of Association of Organ Procurement Organization accreditation standards; American Association of Tissue Banks Accreditation
Ability to build and mentor a cohesive team of expert donation requesters
Ability to develop and maintain trust-based relationships
Ability to anticipate potential changes in the national organ and tissue donation regulatory environment and position OurLegacy to adopt and comply with these changes in the time frames identified
Utilize the principles of quality assessment and performance improvement as it pertains to the donation authorization environment to create strategies to improve authorization rates
Extenive knowledge of utilizing and generating reports from the major organ and tissue procurement industry information technology platforms such as Statline and iTransplant
Knowledge of federal and state regulations and poligies to ensure compliance with national performance expectations and goals
Strong verbal and written communication skills
Strong organizational skills
Effective organ and written communication skills, with the ability to articulate complex information in understandable terms to all levels of staff
Ability to work in a matrix-management environment to achieve organizational goals
Proficiency with Microsoft Office
Bachelor’s degree in Psychology, Social Work, Health Sciences, Counseling, Communications or related field
Master’s degree in Psychology, Social Work, Health Sciences, Counseling or related field (Preferred)

SCOPE OF RESPONSIBILITY:
Oversees all aspects of TransLife’s organ and tissue donation authorization programs in each of the over 55 hospitals within all Advent Health and non-Advent Health hospitals in the following counties: Brevard, Flagler, Indian River, Lake, Okeechobee, Orange, Osceola, Seminole, Sumter and Volusia.
Collaborates with the Assistant Director of Clinical Operations and the Assistant Director of Hospital and Professional Relations to assure best requesting practices are implemented in all cases.
Collaborates with the family services coordinators to assure a customized plan to provide comfort, support and timely information to the donor’s next-of-kin is followed per next-of-kin’s wishes.
Supports first person authorization and can navigate the process of facilitating donation even when next-of-kin does not support the donor’s wishes.
Develops professional relationships with hospital Pastoral Care, Social Work and other family care specialties regarding the donation referral and approach process.
Collaborates with the training manager to develop a training curriculum for new family services and clinical staff; ensure consistency of practice among staff members; and identify organ and tissue donation authorizations that can serve as teaching opportunities to improve donation authorization rates. Develops and implements authorization training programs/workshops for OPC and DA staff with scenario-based skills practice. Assesses performance and provides feedback to increase skills.
Participates in national conferences and training programs to keep abreast of best practice skills in obtaining donation authorization.
Evaluates how effectively each hospital complies with TransLife’s policies and CMS’ organ donation regulations regarding effective donation request practices.
Collaborates with Quality Services Manager to ensure OurLegacy compliance with the following regulatory/accreditation agencies:

Florida Agency for Healthcare Administration
Assures compliance with requirements of the Florida Uniform Anatomical Gift Act regarding donation authorization
Assists OurLegacy staff and service area hospital staff when complying with first person authorization legislation
OPERATING & CAPITAL BUDGET/FINANCIAL RESPONSIBILITY:
Recommends annual operating budget for Family Services
Evaluates the impact of expenditures to determine if investment is appropriate
Reviews monthly budget to identify reasons for operational outliers
Develops pro formas to make recommendations for additional staff, services and/or equipment
STRATEGIC PLANNING RESPONSIBILITY:
Identifies regulatory and performance factors that influence the national industry landscape to assess future needs and/or threats.
Recommends long term strategies that can increase donation authorization rates
PERFORMANCE IMPROVEMENT RESPONSIBILITY:
Monitors authorization performance rates and works with Executive Director and Quality manager to lead performance improvement initiatives aimed at increasing authorization rates.
Develops, modifies (as needed) and monitors TransLife’s definition and implementation of an effective request process. Leads case reviews of select donation discussions to evaluate and improve the effective request process.
Acts as an advanced resource for family services and clinical staff on-site to review approach dynamics for the purpose of ensuring the best and most compassionate approach regarding donation options.
Supports the Hospital and Professional Services department objectives by deploying family services staff to conduct education programs with physicians, nurses, social workers, pastoral care and other health care professionals about all aspects of donation authorization with the goal of increasing authorization rates.
Responds to partner hospitals to assist in After-Action Reviews (AAR) for donation approach and authorization as needed.
COMMUNITY RELATIONS RESPONSIBILITY:
Oversees the post-donation family support services program for the 10-county service area
Oversees the deployment of donor family volunteers to roles/responsibilities that speak to their strengths and capabilities
Daily evaluates the family dynamics and donor designation status of each organ and tissue donation referral.
Assures each case is accurately evaluated and managed by the on-call requesting staff.
When donor activity or staff vacancies dictate, capable of performing all duties of the family services coordinator. Participates on the TransLife call schedule as needed to offer donor family care and donation approach activities.
Provides 24/7 support to the family services on-call team
